Destination Wedding Budget: Step-by-Step Guide | RM Magic Dreams

How to Plan Your Destination Wedding Budget: A Step-by-Step Guide
By Rocío Mejías Godoy, destination wedding planner and founder of RM Magic Dreams
At RM Magic Dreams, we design destination weddings in Spain, France and Florida. With every couple, we start in the same place: the budget. A destination wedding adds layers a local wedding does not have, such as travel, guest accommodation, legal paperwork in another country and vendors you manage from a distance. A well-built budget prevents surprises and lets you decide with confidence.
In this guide, we explain how to build it in Excel, how to track every payment and what changes depending on the destination. At the end, you can request our template with the formulas already set up.
1. Organize Your Spreadsheet by Category
Divide your budget into clear categories so you can see where most of the money goes and keep everything under control. Create a tab called "Services" with these sections.
Ceremony
- Civil or religious
- Paperwork and legal documentation
- Donation or fee
- Flowers
Venue and Celebration Space
- Venue rental
- Decor and flowers
- Entertainment (photo booth, performer, show)
- Catering
- Photographer and videographer
- DJ and music
- Invitations
- Transportation for the couple and for guests
- Other venue costs
- Plan B for bad weather (tent, covered area, indoor space
The Couple
- Groom's suit and wedding gown
- Jewelry and rings
- Shoes
- Flowers (bouquet and boutonnière)
- Lingerie
- Hair and makeup
Other Details
- Ring pillow
- Wedding coins (arras)
- Guest gifts
- Personalized extras
Destination Wedding Specifics
- Accommodation
- Transportation
- Meals
- Activities and extras
2. Estimated Budget: Your First Copy
Duplicate the "Services" tab to enter your projected costs:
- Add up the total estimated budget.
- Compare 4 to 5 quotes for each service.
- Adjust according to your priorities.
- Set aside 5% to 10% of the total for unexpected costs.
For a destination wedding, we recommend leaning toward the higher end of that range. A last-minute change costs more when your vendor is far away.
3. Actual Expenses: Your Second Copy
Create another tab to record what you have already paid:
- Date of each payment
- Payment method (bank transfer, card or cash)
- Contract and invoice from each vendor
This way you will always know what is paid and what is still pending.
4. What Changes Depending on the Destination
Wedding in Spain
Decide whether your ceremony will be civil or religious, as each has its own documentation and legal process. Costs also vary widely by region and season. Book the most sought-after venues well in advance.
Wedding in France
The requirements for a legal marriage in France are strict for foreign couples, with residency and documentation rules. For this reason, many couples hold a symbolic ceremony there and make the marriage legal in their home country. Always check the current requirements before you decide.
Wedding in Florida
The marriage license is obtained in Florida, and it is worth checking its validity period. Hurricane season also calls for a solid Plan B. Include an alternative space or a tent in your budget.
5. Professional Wedding Planner Tips
- Update your spreadsheet regularly to avoid surprises.
- Always compare 4 to 5 quotes before hiring a service.
- Make sure you have a Plan B for any weather situation.
- Include an extra 5% to 10% for the unexpected.
- Use Excel formulas: automatic totals, pending balances and percentages.
- Personalize the sheet to your wedding, because every detail counts.
- Request a contract and an invoice from every vendor.
- For a destination wedding, work with vendors who know the location, or hire a wedding planner with a local network.
6. Why This Method Works
- Complete overview: every service and detail in one place.
- Total control: you know what you have paid, what remains and which vendor is still pending.
- Informed decisions: you prioritize based on your real budget.
- Less stress: you plan with confidence and enjoy the process.
- Flexibility: comparing quotes and having a Plan B prevents rushed decisions.
Frequently Asked Questions About Destination Wedding Budgets
How much does a destination wedding cost?
It depends on the country, the season, the guest count and the level of service. That is why we recommend starting from your priorities and comparing real quotes rather than relying on a generic figure.
How far in advance should we start planning?
As early as possible. The best venues and vendors in each destination book far in advance, and legal paperwork in another country takes time.
When should we hire a destination wedding planner?
From the very beginning. A wedding planner helps you shape the budget, vet vendors and handle paperwork and logistics from a distance.
